You can create checks within Zubifi. A check can be created using a bank or credit card account to track expenses incurred by your business. The checks are available in the Transactions area.
CHECK STOCK Zubifi checks are compatible with Quickbooks® business check stock. Just make sure the checks are marked as “Quickbooks Compatible” on their label. If you are looking for check stock to use when printing checks we recommend ChecksForLess.com.
To create a new Check click the PLUS icon in the upper right corner of the screen (beside the user icon). Then select “Write Checks” from the menu under the “Banking” heading. Then make sure to select a contact (or create a new one) and fill out the other fields as appropriate. You can set the payment account and check number and date as desired.
CHECK NUMBER The document number is defaulted to an auto-generated value starting with 1 and incrementing by one. The counter is unique to each account and should be matched with the paper check that was created. You can change this value to meet your own needs in the event that you are not creating a paper check.
If you select a credit card account then the check number field is left blank and you can enter a transaction number or other tracking value here if desired.
MEMO The memo line allows you to add a note or comment on the check just like when creating a paper check manually.
LINE ITEMS To enter expenses for your check add individual line items for each component of the payment. It is normal to select an Expense account (such as Office Supplies) in the Account box or create your own expense accounts using the “[add new]” selection. Enter a description of the expense, the amount, and if the expense is directly tied to a customer then select the contact name. You should NOT select a contact name that matches the person to whom the check is being written.
You can add more line items if needed using the “Add Line Items” link at the bottom of the Line Items area. You can remove existing line items using the delete marker on the right of the line item rows.
CUSTOM FIELDS Checks support custom fields that can be set under the Settings menu. You can add up to 20 custom fields that will be available to all checks.
PRINT QUEUES You can opt to include the document in the print queue list by checking the appropriate box in the Add to Queue area at the top of the line items box. To view and manage your queue click the Bell icon at the top of the screen (beside the user icon) and select the print queue to manage.
Once a check has been reconciled with your bank statement it will not be able to be modified so make sure that everything is accurate on the check prior to completing your bank reconciliation. If you need to make a change to a check after reconciling then you will need to go into the bank reconciliation and undo the previous reconciliation.
Once created you can print your check or add attachments (click the paperclip in the header section of the check near the top Save button) as backup for your payment.
